Abstract

An expense recovery system for a digital MFD in the form of a modification to the application program interface of the MFD to allow input of identifiers for the user, the client and the job and to transmit this information and other transaction data to an host computer for billing purposes. Data entry is made faster and more accurate by minimizing keystrokes. The information is transmitted over a network and, optionally, the host computer may be located remote form the MFD.

      b. receiving identifiers in the MFD via the input means is initiated by first typing an identifier into the MFD'"'"'s numeric keypad.

    - a. the input means includes a numeric keypad; and
      
      b. each identifier input is separated from the next by inputting a separator on the numeric keypad.

    - a. the MFD has a screen; and
      
      b. the identifiers include a client identifier which further comprises a client identification and a matter identification which are input separately.
  - 13. The method of claim 11 further including the step of the MFD transmitting the client identification and matter identification to the host computer to effect the comparing step.

    - a. the MFD has a screen;
      
      b. displaying a search button on the screen;
      
      c. activating the search button which enables a user to search the store of identifiers for a client name.
  - 15. The method of claim 1 wherein:
    - a. the MFD has a screen;
      
      b. displaying a recall button on the screen;
      
      c. activating the recall button which recalls the last client numbers used.
  - 16. The method of claim 1 wherein, upon reaching a predetermined number of characters received for each identifier, automatically moving to the next identifier.
  - 17. The method of claim 1 wherein:
    - a. the MFD has a screen; and
      
      b. the client identifier has multiple digits and as each subsequent digit in the client identifier is received, automatically displaying on the screen the text of a client name of the closest match.
  - 18. The method of claim 1 wherein:
    - a. the identifiers include a user identifier; and
      
      b. upon receiving the user identifier, displaying speed dial buttons that enable input of a client identifier with fewer keystrokes than if the entire client identifier had to be input.

    - a. the identifiers include a user identifier; and
      
      b. upon receiving the user identifier, displaying an email-transmit button that, when activated, transmits a copied document to an email account.
  - 20. The method of claim 1 wherein the input means further comprises a proximity sensor.
  - 21. The method of claim 1 wherein the input means further comprises a card reader.
  - 22. The method of claim 1 wherein:
    - a. the identifiers include a user identifier; and
      
      b. the user identifier is biometric.
  - 23. The method of claim 1 further comprising enabling the MFD with a function enable signal.
  - 24. The method of claim 22 wherein the function enable signal is transmitted to the MFD from the host computer via the network.
  - 25. The method of claim 1 further comprising transmitting the transaction data to another digital device.
  - 26. The method of claim 1 further comprising the host computer transmitting transaction data to a digital scanning system.
  - 27. The method of claim 1 wherein the host computer is a digital scanning system.
  - 28. The method of claim 1 wherein:
    - a. the transaction data includes a status identifier;
      
      b. comparing the status identifier to a store of status identifiers; and
      
      c. if the status is out-of-normal, notifying an administrator.
  - 29. The method of claim 1 wherein the transaction data includes consumables data.
  - 30. The method of claim 1 wherein the transaction data includes transaction type.

31. An application program interface for a MFD comprising:
- a call to a host computer when a key on a numeric keypad on the MFD is activated;
  
  one or more screens generated and displayed on a screen of the MFD;
  
  one or more fields on each the screen for input of data;
  
  one or more action buttons for activating transmission of the data to the host computer; and
  
  transmission of transaction data to the host computer upon completion of the job task.

    - a. one of the fields is a client identification field; and

    - a. one of the fields is a client identifier field and one of the fields is a matter identifier field, which are input separately.
